Yamagata Europe is the European headquarters of the Yamagata Group. Yamagata creates, manages and distributes technical documentation and manuals for the automotive, medical, machine tool and consumer electronics industry. In the European Headquarters, which functions as the operational centre for translation, we manage over 80 million translated words per year. Zwevegem is located in the south of the Belgian province ofWest-Flanders, between the Scheldt and the Leie rivers and is easily accessible because of the proximity of the railway (Kortrijk Station) and the motorway E17 (A14). CryoConcepts is a newly formed company that manufactures cryosurgical devices under the guidance of FDA and ISO regulations for use by health care professionals. Because of our company structure where employees are decentralized with some located in other countries, a brick and mortar approach to the Quality System Documentation Control would have been difficult to implement and maintain. With that in mind, an internet-based cloud approach to a shared system was adopted early as one of the company’s philosophies. The Vivaldi QMS Document Control Module is a perfect fit for ours needs.

Early in the life of CryoConcepts, we implemented the Document Control Module, part of the Vivaldi Quality Management software, to support the structure for our Quality Management System. It houses our quality system documents and design files. We make extensive use of the change control and revision tracking capabilities already built into the system. Use of the Document Control Module has streamlined our document assessment, approval and publication processes providing our employees secure access over the internet enabling us to put the most current documents into affect quickly and efficiently.

Another valuable aspect of the Vivaldi Document Control Module is that a computer with internet access is all that is needed to implement and access the system. Vivaldi takes care of the rest. We did not have the upfront capital costs of hardware (servers, routers, etc) nor software.

We’ve also saved on personnel costs by teaming with Vivaldi. They take care of the day-to-day tasks of help desk, system maintenance, backups, disaster recovery preparedness, etc. As an early stage company, our employees wear multiple hats. Having Vivaldi provide support for the Quality System infrastructure has freed us up to concentrate on growing the business.

Plastruco Technics is an ISO TS 16949 certified company specialized in managing the construction of die-casting moulds and the manufacture of specialized plastic components for various industries including the automotive industry.

In 2006 Plastruco Technics implemented the Vivaldi Quality Management Software-modules Document Control and Process2Flow. Kris Koninckx (Quality Assurance Engineer at that time), was responsible for setting up the system and wrote the following testimonial. The company still works with the Vivaldi QMS software today.

“The Vivaldi Software package offers a very broad basis, which allows systems to be developed according to the needs of the company relatively easily. The document control system is the perfect package to control, edit and check documents. The built in “task application” ensures you are continuously reminded of revisions and approvals. It offers you the opportunity of reducing the paper chase, which can be troublesome at times.

The Process2Flow module is an absolute bonus and a must-have. Any conceivable process in any conceivable organization can be set up with this system. Ranging from a flow with 2 steps to a complete approval process of an automotive product (APQP/PPAP). The software also forces the user to follow the flow which means the delivery of end products to the client is given much more structure and runs more accurately. Vivaldi's simple import tool allows us to retrieve data from our ERP system Navision. In the future there will even be a continuous interaction between Vivaldi and Navision, via MS-SQL .

The excellent and friendly support of the customer service allows for quick and simple clarification of small problems which are not immediately clear in the comprehensive and very flexible package. The 2 day training which we added to our order were more than enough to implement the entire package within 1 months' time.

Our group purchased the Vivaldi Quality Management Software in 2002, to organize and computerize the management of nonconformities. The software was used by about twenty people in the early phase and was implemented further step by step. The knowledge we gained from the software and the comprehensive settings allowed us to set up flows for other applications fairly soon (following up on requests by clients, internal complaints, internal audits).

The Document Control module was also implemented, more specifically as a solution for a general document control. Vivaldi Document Control allowed us to achieve a greater level of interaction between people on the work floor and the documents they use on a daily basis, which meant the number of users doubled. The upgrade to the new version was completed in December 2005. Despite the fact that Non-conformities 3.0 was absorbed by the much more comprehensive Vivaldi Process2Flow module, this changeover occurred without major problems for our users. The flows which are free to design and the fields which are free to define allow us to make changes to the software to suit our specific requirements.

Our next step will undoubtedly be the implementation of the TrainingManager module.
