Flexible workflow

Visual workflow editor, no coding.

With the user-friendly visual workflow editor of Process2Flow, you can map out the entire process. In principle, this can be completed entirely by the process owner without any intervention from internal of external IT employees. Not a single line of code needs to be written.

Flexible BPMN compliant workflow.

You can specify who will perform each step in a process. This can be specified as a permanent person or a role. You can allow the person completing the previous step to choose or you can allow this to depend on one or more values in logical expressions on your form.

A number of possibilities are also available to specify which next step will be active when a previous process step has been completed such as: one or more steps are always active, allow the person completing the previous step to decide or specify whether a step is active or not based on one or more of the values indicated on your form using logical expressions.

Monitor deadlines.

You can specify by process how much time is allowed for a record to be resolved. You can even specify how much time the person completing the step is permitted. Both the color codes in the summary lists and the color of the process steps in the visual process model instantly show you if the deadlines are being adhered to or not. If desired, various automatic reminders can be sent if a deadline is missed, with or without escalation scenarios.

Customize forms for each step.

You can specify which fields in each step of the process are visible, which can be modified by the user and which must be filled in.

Customizable summary lists.

You determine which fields you want to see as columns in the summary list, even by process type. It is logical that you would want to see different columns for customer complaints than for, for example, internal audits or corrective measures.

Sort & group.

The list allows you to group or sort the content based on one or more of the displayed fields. You could, for example, create a summary list that shows you which registrations are open, grouped by process type and sorted by record date with the most recent records on top.

With one simple click of the mouse, you can export the content of the list to MS Excel.

Powerful search function.

Search all fields.

The search filter allows you to conduct a search on all available fields. Retrieve your records quickly from (part of) the description or the name of the customer or contact. Display only certain types of records, for example only customer complaints or internal defects.

Customizable filters.

You can create and store an unlimited number of preset filters by specifying which standard fields should be included in the filter. You can also store default search values for specific fields.

Full text search.

Thanks to the built-in full text search functionality, you can search the content of the attachments using keywords. The server processes all indexable documents at regular intervals to increase the speed of the search. As soon as an iFilter is available for a specific file type, these documents can, in principle, be indexed automatically. Of course we install the necessary iFilters for the most common standard formats such as MS Office, OpenOffice and PDF.

Use the user-friendly visual form editor to design a form for each process type. In principle, this can be completed entirely by the process owner without any intervention from internal of external IT employees. Just like with the flow editor, not a single line of code need to be written.

  • Fill-in fields: text fields, numeric fields, list boxes, memo fields.
  • Internal or external table structures: design your own tables using Vivaldi Process2Flow or create links to external databases (CRM, ERP) for contact details, representative details, product information and more.
  • Predefined components: intelligent, ready-to-use components to manage attachments, cost tables, fault trees and cause-and-effect structures and more.

Vivaldi Process2Flow includes a built-in statistical model to provide quick insight into trends and patterns in your data:

  • Pareto charts: apply the 80/20 rule to all fixed and freely defined fields: fault category, cause, department, customer, supplier...
  • Trend charts: follow the evolution of records by day, week, month, year...

You can even zoom in on a specific record directly from the results!

Export to MS Excel: export lists to MS Excel with the selection criteria and columns you specify included in the list.

In Vivaldi Process2Flow, you can create templates with a fixed layout that users can use to create a new letter or e–mail message. Vivaldi Process2Flow automatically adds information from your form to the letter or e-mail message such as reference number, customer information, description...

MS Office plugins.

Add an attachment to a new or existing record directly from MS Office applications. For example, immediately create a new record directly from MS Outlook from a customer complaint received by e-mail. MS Office plug-ins are available for MS Word, MS Excel, MS PowerPoint, MS Outlook, MS Visio and MS Publisher

Full text search.

Web interface.

Full control from your web browser.

Vivaldi Process2Flow allows users to not only consult data using the MS Silverlight-based web interface, they can also start a new process instance or execute steps (tasks) of a process. The complete basic functionality of Process2Flow is available through the browser, eliminating the need install the software on a local PC. The Silverlight client is compatible with both Internet Explorer as well as the Windows and Mac versions of Firefox.

Develop your own applications.

The open database architecture on MS SQL server allows you to synchronize your data with 3rd party applications or you can even develop your own peripheral applications.
